Intranet portaldevelopment

News, a knowledge base, requests and an employee directory in one internal portal, with sign-in through work accounts

Timeline
from 10 weeks

A portal built for your company

An office needs a knowledge base, a shop floor needs pay stubs on a phone. Building a corporate portal starts with how work actually gets done at your company

  • 01

    Office-based company

Hundreds of all-staff emails, spreadsheets on a shared drive and questions sent privately to HR. The portal brings it all into one searchable place

    • A news feed instead of mass emails
    • Searchable knowledge base
    • Requests to accounting and HR
    • Meeting room booking
  • 02

    Manufacturing

A shop floor worker has no computer and no corporate email. The portal has to open on a phone and on a shop floor terminal

    • Sign-in with an employee ID
    • Pay stubs and shift schedules
    • Instructions and workplace safety
    • Requests to supervisors and maintenance
  • 03

    Store and branch networks

Hundreds of locations where news and procedures must reach every sales associate instead of stopping at the manager

    • News with a "read" mark
    • Procedures and merchandising standards
    • Tasks for locations with photo reports
    • Directory with branch contacts
  • 04

    Holdings and groups of companies

Several legal entities, each with its own structure, plus shared rules on top. Everyone sees their own and the shared content, but not anyone else's

    • Org chart for every company in the group
    • Access rights by entity and department
    • Group-wide and local news
    • Approvals that span companies
  • 05

    Field teams

Installers, service engineers and sales reps rarely come to the office. For them, the portal lives on their phone

    • A mobile version with nothing to install
    • Documents and diagrams on the go
    • Requests for supplies and cash advances
    • Notifications in Telegram
  • 06

    Growing companies

New people join every month, and each one is onboarded by hand. The portal takes over the first weeks

    • A day-by-day onboarding plan
    • Courses and quizzes with completion tracking
    • A mentor and team contacts
    • Progress reports for the manager

An employee's day without memos

Five steps from sign-in to training. At each one the portal replaces an email, a call or a paper to sign

  1. 01Single sign-on

Signs in without a new password

The same account as for the work computer and email. Remove an employee from the directory, and portal access closes on its own

  2. 02News and announcements

    Catches up on what matters

A feed for their department plus company-wide news. Important posts are pinned to the top, and managers see who has read them

  3. 03Portal search

    Finds what they need

One search bar covers colleagues, documents and knowledge base articles. Phone, job title and manager are on each employee profile

  4. 04Requests and approvals

    Submits a request

Time off, a business trip, a building pass or a purchase: a form instead of a memo. The request moves through the approval chain on its own, with the status visible at every step

  5. 05Courses and quizzes

    Learns and grows

An onboarding course for new hires, mandatory briefings and quizzes. HR sees who has completed them and who needs a reminder

In every internal portal

  1. 01Sign-in with corporate accounts
  2. 02News and announcements by department
  3. 03Knowledge base with search and article versions
  4. 04Employee directory and org chart
  5. 05Requests with approval workflows
  6. 06Document storage with access rights
  7. 07Courses, quizzes and onboarding plans
  8. 08Email and Telegram notifications
  9. 09A mobile version for work outside the office
  10. 10Admin panel for HR and internal communications

Connected to your systems

Employees and departments come from your directory and HR system, and notifications go to email and messengers. Nobody maintains a second directory by hand

We connect the portal to: Active Directory, LDAP, HR and payroll, Bitrix24, Corporate email, Document management, Video conferencing, Telegram

Before kickoff we work with your IT team to check how to connect the user directory, HR system and document management. We only promise what we have confirmed. A similar internal system from our portfolio is the sales office portal for a property developer. If you need a platform for an external audience rather than employees, see public web portal development

Access under control

The portal holds salaries, internal orders and personal data. Everyone sees only what is theirs, and every action is logged

  • Sign-in with work accounts

Employees use the same username and password as for Windows. A new person in the directory gets access automatically, and a departing one loses it the same day

  • Permissions by department and role

Accounting sees its documents, the warehouse sees its own. Permissions are inherited from the org chart, so the admin doesn't have to grant them one by one

  • Activity log

Who opened a document, who edited an article, who approved a request, and when. The log can't be altered after the fact

  • Hosted on your own server

We deploy the portal on your company server or in a cloud of your choice. Employee data never goes to third-party services

  • Backups

The database and files are backed up on a schedule and stored separately from the main server. We test restores before launch, not on the day of an outage

  • Mobile access for everyone

The portal works well on a phone: staff in the warehouse, on the shop floor or on the road read news, submit requests and approve them without a laptop

Company portals: packages

The cost depends on scope. We send a detailed estimate after reviewing your processes and don't change it after kickoff unless the scope changes

What drives the cost

  • Several user directories, or sign-in without a single directory
  • Migrating the knowledge base and documents from an old portal or a shared drive
  • Complex approval workflows with conditions and delegates
  • A native mobile app in the app stores instead of a mobile version
  • Security team requirements for an isolated network

How a project runs

  1. 01

    Process review

    1–2 weeks

We talk to HR, IT and department heads to find out which requests and documents currently travel by email and messenger

  2. 02

    Prototype and design

    2–3 weeks

A clickable prototype of the home page, employee profile and requests. We show it to several employees before development

  3. 03

    Development in stages

    per estimate

We demo every module on a staging server and close it with a sign-off. You pay per stage

  4. 04

    Launch and support

    30 days

We migrate data, train the admins and roll the portal out to one department first. A month of support is included

Common questions

Didn’t find your question? Ask it on Telegram and we’ll reply during business hours

Ask on Telegram
  1. The portal fits your processes, not the other way around

An off-the-shelf product works well if its features match your needs. When you need your own requests, your own permission structure and links to internal systems, a custom portal skips unnecessary modules and the yearly per-employee license. If the off-the-shelf product is enough for you, we will say so

  2. Yes, through Active Directory or LDAP

The portal takes users and groups from your directory. Employees sign in with their work credentials, and when someone leaves, access closes together with their account. Before kickoff we check the connection setup with your IT team

  3. On your server or in a cloud of your choice

We deploy the portal in your infrastructure or with a cloud provider of your choice, in line with personal data protection laws. Backups are stored separately from the main server

  4. The org chart and employees come from it

We pull departments, job titles and managers from your HR/payroll system, so nobody maintains the directory by hand. Pay stubs and remaining vacation days can appear on the employee profile if your security team allows it

  5. A mobile version and sign-in with an employee ID

For shop floors, warehouses and stores we set up simple sign-in from a phone or a shared terminal. Important news and requests are also sent to Telegram, so they reach people even if they rarely open the portal

  6. We launch with one department and real tasks

A portal thrives when it makes everyday email chores easier: submitting a request, finding a document, looking up a colleague's phone. We start with those tasks and one department, gather feedback and only then open it to everyone

  7. Your company does

We hand over the source code, access and documentation. Your developers or another team can keep building the portal without us
