A custom CRMfor your process

We build a CRM from scratch: pipelines, client records, tasks and reports that work the way your team does. Connected to your website, phone system and accounting

Timeline
from 8 weeks

A custom CRM when SaaS feels tight

A sales team, a field service crew and a training center work with clients differently. We design the system around your workflow, not an average one

  • 01

Sales teams with their own pipeline

Your deal stages don't fit the standard "new, in progress, won", so managers do half their work in spreadsheets

    • Pipelines with your stages and fields
    • Required steps before moving a deal
    • Lead routing between managers
    • Scripts and email templates in the record
  • 02

    Wholesale and B2B sales

A client is a company with several contacts, contracts and shipments. Managers need the full history, not just the last call

    • Companies, contacts and contracts
    • Invoices and payments from your accounting system
    • Custom price lists and discounts
    • Reorder reminders
  • 03

    Field service and crews

A request turns into a site visit, a sign-off and a payment. Dispatchers need to see who is free, technicians what to bring

    • Requests with address and visit time
    • Technician workload by day
    • Sign-offs and job photos from a phone
    • Request status for the client
  • 04

    Real estate sales

Each deal is tied to a specific unit: price, reservation and status must match for every manager and on the website

    • Unit registry and stacking plan
    • Reservations with expiry and release
    • Prices changed in one place
    • Exports to listing portals
  • 05

    Schools and training centers

Clients buy a membership or a course, not a one-off. You have to track payments, missed classes and renewals

    • Students, groups and schedule
    • Memberships and remaining classes
    • Payment and renewal reminders
    • Trial classes in the pipeline
  • 06

    Agencies and project teams

After the sale, a deal becomes a project: milestones, hours, sign-offs. In an off-the-shelf CRM this part lives elsewhere

    • Deals turn into projects
    • Milestones, tasks and time tracking
    • Invoices and sign-offs per milestone
    • Margin for every client

The lead journey from call to report

Six steps where clients usually slip away. At each one the CRM takes over the routine, so managers can focus on the deal

  1. 01Every channel in one place

    Leads arrive on their own

Website forms, calls, emails and messenger chats land in the CRM with their source. Nothing gets lost on personal phones

  2. 02Client record

    Managers see the client

Contacts, past deals, call recordings and messages on one screen. A returning client never hears "remind me who you are"

  3. 03Your pipeline

    Deals move through stages

Stages, fields and transition rules match how you actually work. Without the required document or amount, a deal does not move on

  4. 04Tasks and reminders

    Nothing is forgotten

Call back, send a proposal, check the payment: tasks are created by stage, and overdue ones are visible to the manager and the team lead

  5. 05Documents and accounting

Invoice and contract in two clicks

Documents are generated from deal data using your templates, the invoice goes to your accounting system, the payment comes back to the record

  6. 06Reports

    Leadership sees the big picture

Pipeline by manager, source and period, plan vs. actual, stalled deals. Reports open instantly instead of being pulled together by hand every Friday

In every CRM we build

  1. 01Sales pipelines with your stages
  2. 02Client, company and deal records
  3. 03Tasks, reminders and overdue tracking
  4. 04Roles and permissions: who sees and edits what
  5. 05Change history for every record
  6. 06Leads from the website, email and messengers
  7. 07Documents from templates using deal data
  8. 08Reports and a leadership dashboard
  9. 09Client import from spreadsheets and your old CRM
  10. 10A smooth experience on mobile

Connected to the tools you already use

Calls, messages, invoices and payments land in the client record automatically. Managers never copy data by hand from one app to another

We connect the CRM to: Phone system, Email, Telegram, WhatsApp, Accounting/ERP, Online payments, E-signature and document exchange, Analytics

One example is the sales office portal for a property developer: unit registry, stacking plan, price lists, reservations and deals in one system, 5 modules on shared data and exports to 5 listing portals. If you already have a CRM and only need website leads to flow into it, that is a website–CRM integration, which is faster and cheaper

Custom CRM or SaaS

A custom CRM doesn't pay off for everyone. We run the numbers with you before signing and tell you honestly if amoCRM or Bitrix24 is enough

  • How many people use the system

An off-the-shelf CRM charges per user every month. With many users and a growing team, we compare that bill over several years with the cost of your own

  • How unusual your process is

If a deal goes through a warehouse, a site visit, a project or a unit, and the SaaS product forces you to adapt, a custom CRM follows your work instead of the other way around

  • Where the data lives

A custom CRM runs on your server or with a hosting provider of your choice. Your client base doesn't depend on someone else's pricing plans, restrictions or decisions

  • Which integrations are missing

A customized accounting system, your own warehouse software, an industry-specific service: when there is no ready module, the integration is built for you and doesn't break after a vendor update

  • Total cost of ownership

A custom CRM costs money after launch too: servers, support, improvements. We calculate that upfront and show it next to the SaaS subscription

  • When off-the-shelf is enough

A small team, a standard pipeline, common integrations: pick amoCRM or Bitrix24 and set it up. We will tell you so on the first call

Custom CRM: packages

The cost depends on the number of teams and integrations. We send a detailed estimate after reviewing your process and don't change it after kickoff unless the scope changes

What drives the cost

  • Migrating data from an old CRM and spreadsheets with deduplication
  • A heavily customized accounting system or several of them
  • A mobile app for employees
  • Hosting on your own server under your security team's requirements
  • Complex calculations: proposals, commissions, manager bonuses

How a project runs

  1. 01

    Process review and estimate

    3–5 days

We look at how leads move through your team today and where they get lost. If an off-the-shelf CRM is enough, we say so. If not, we send an estimate with milestones

  2. 02

    Prototype of key screens

    1–2 weeks

A clickable client record, pipeline and report. Your managers try them before development, and we make changes right away

  3. 03

    Development in stages

    per estimate

We demo every stage on a staging site and close it with a sign-off. You pay per stage

  4. 04

    Launch and training

    30 days

We migrate the data, connect the phone system and accounting, and train the team. A month of post-launch support is included

Ask on Telegram
  1. It depends on scope; the estimate is fixed

A CRM for one team with a pipeline, tasks and roles takes 8–10 weeks. Adding a phone system, accounting sync and reports takes 12–16 weeks, and a company-wide system from 20 weeks. The cost depends on the number of teams and integrations; we send a fixed estimate after reviewing your process

  2. Quite possibly, and we will tell you

If your team is small, the process is standard and the integrations you need already exist, a custom CRM will take a long time to pay off. We recommend custom development when the SaaS product gets in the way, you have many users or the data has to live on your own server

  3. There we connect an existing CRM, here we build your own

If you already use amoCRM or Bitrix24 and want website leads to land there, that is an integration, which is faster and cheaper. This page is about a system of your own that we design and build around your process

  4. Yes, with checks and deduplication

We export clients, deals and history from the old system or spreadsheets, merge duplicates and verify the result with you. You switch off the old system once you are sure everything is in place

  5. Yes, that is how we usually work

The first stage covers what the team cannot work without: clients, deals and tasks. Integrations, reports and portals come in later stages, once the team already lives in the system

  6. Hosting is your choice, the code is yours

We host the CRM with a provider of your choice or on your own server. You get the source code, access and documentation, and there is no subscription fee for the system itself

  7. A month of support included, then as agreed

For the first month we fix bugs and answer your team's questions free of charge. After that you can keep us on for support and improvements or hand the system over to your own developer
