Customer portaldevelopment

A portal for clients, partners and employees: code login, orders and statuses, documents, payments and notifications. Clients see what’s happening with their order, and managers stop answering the same questions

Timeline
from 6 weeks

A portal built for the people who use it

Shoppers need parcel tracking, dealers need commissions, employees need shift schedules. We build screens and permissions around your users, not around a ready-made template

  • 01

    Online store customer account

Shoppers want to know where their parcel is and reorder without rebuilding the cart from scratch

    • Order history and one-click reorder
    • Delivery tracking
    • Loyalty points and personal prices
    • Returns without a phone call
  • 02

    Service client portal

A client has placed a request and is waiting. Instead of calling a manager, they open the portal and see which stage it’s at

    • Requests and their statuses
    • Approving estimates and extra work
    • Completion certificates and closing documents
    • A message thread for every request
  • 03

    Partner portal

Agents and dealers bring in clients and want to see their deals and commissions without spreadsheet exports

    • Client attribution to the partner
    • Deals and commissions
    • Price lists and sales materials
    • Reports and reconciliation statements
  • 04

    Employee portal

Tasks, schedules and documents in one place, not scattered across five chats and a shared folder

    • Tasks and shift schedules
    • Requests and payslips
    • Access by role and department
    • Company news and policies
  • 05

    Patient or student portal

Appointments, results and schedules are available anytime, not only by calling the front desk

    • Schedule and booking
    • Results, homework, reports
    • Certificates and paperwork on request
    • Class and appointment reminders
  • 06

    Subscription and billing portal

The client pays every month. They want to see their plan and the next charge date, and change everything themselves

    • Plans and plan changes
    • Autopay and saved cards
    • Receipts and payment history
    • Pause or cancel without a call

The client’s path without calling a manager

Six steps from login to a support question. At each one the portal takes over routine work a manager used to do

  1. 01Code by text or email

    Logs in without a password

A phone number or email, a code in a couple of seconds — and they’re in. No password to invent and then reset a month later

  2. 02Real-time statuses

    Sees their orders

Every order and request on one screen: received, in progress, shipped, ready. The status changes in your system and the client sees it right away

  3. 03Invoices, certificates, contracts

    Downloads documents

Invoices, completion certificates and contracts appear on their own as soon as accounting issues them. The client’s accountant doesn’t have to email for a copy

  4. 04Card, online, invoice

    Pays

Card or online payment right from the portal; companies get an invoice with bank details. The payment is recorded in your books with no manual reconciliation

  5. 05Text, email, Telegram

    Gets notified

Order ready, invoice issued, document signed — people find out on their own, through the channel they prefer, not from a manager

  6. 06Chat inside the portal

    Contacts support

The question leaves the portal together with the order number. The manager sees right away what it’s about and doesn’t have to ask again

In every customer portal

  1. 01Login with a one-time code by text or email
  2. 02Orders and requests with statuses
  3. 03Downloadable invoices, certificates and contracts
  4. 04Card, online and invoice payments
  5. 05Notifications by text, email and Telegram
  6. 06Roles and access permissions
  7. 07User activity log
  8. 08Support chat for every order
  9. 09Admin panel for managers
  10. 10A comfortable mobile version

The portal pulls data from your systems

Orders and invoices come from your ERP, deals from the CRM, payments through a payment gateway, codes and notifications by text, email and Telegram. No one copies data into the portal by hand

We connect the portal to these systems: Accounting / ERP, Bitrix24, amoCRM, Payment gateway, SMS gateway, Telegram, Email, E-signature

Before kickoff we check what your systems can provide: an API exchange, a scheduled export, or documents uploaded by a manager in the admin panel. We only promise what we’ve confirmed

Security and data

A portal holds personal data, contracts and money. Everyone sees only their own, and every action is logged. We’ve already built roles, a change log and per-company data separation for a real estate developer’s sales team portal

  • One-time code login

There are no passwords to peek at or guess. If password login is needed, we store only its hash, never the password itself

  • Roles and permissions

The director sees everything for their company, the accountant sees invoices, an employee sees only their own orders. Permissions are set in the admin panel

  • Activity log

Who logged in, what they downloaded, what they changed and when. If there’s a dispute, you have a record, not a recollection

  • Data stored where it must be

We host the portal with a provider in the required region or on your own server, in line with personal data protection laws

  • Consent to data processing

Consent and the privacy policy are part of sign-up, and the fact of consent is stored with a date

  • Brute-force protection

We limit code attempts and request frequency. No one can guess a code or flood your SMS gateway with requests

Customer portals: packages

The cost depends on scope. We send a detailed estimate the day after the brief and don’t change it after kickoff unless the scope changes

What drives the cost

  • Electronic document workflow and signing documents in the portal
  • A mobile app alongside the portal
  • Migrating users and order history from an old system
  • A complex partner scheme with multi-level commissions

How the project runs

  1. 01

    Brief and estimate

    1–2 days

A 30-minute call. We work out who will use the portal and where the data comes from, and send an estimate the next day

  2. 02

    Prototype and design

    1–2 weeks

A clickable prototype of the key screens and roles, then design. Changes happen before development, not after

  3. 03

    Development in stages

    per estimate

Each stage is shown on a staging address and signed off. You pay by stage

  4. 04

    Launch and support

    30 days

We connect accounting and notifications, migrate users and train your managers. A month of support is included

Common questions

Didn’t find your question? Ask it on Telegram and we’ll reply during business hours

Ask on Telegram
  1. Depends on scope; a fixed estimate after the brief

A portal with code login, orders, documents and notifications takes 6–8 weeks; adding payments, roles and ERP or CRM exchange takes it to 10–12 weeks. The cost depends on scope — we send a fixed estimate the day after the brief

  2. Yes, no need to rebuild the site

The portal lives on a separate subdomain or in a section of your site, with a login link in the header. We match the design to your site so clients don’t feel they’ve switched to another system

  3. From your systems: ERP, Bitrix24, amoCRM

Before kickoff we check what your accounting system and CRM can do. If there’s an API or a standard data exchange, data flows automatically. If not, we agree on a scheduled export or let managers upload documents from the admin panel

  4. Easier for clients, safer for you

People forget passwords and reuse the same one everywhere. A one-time code goes to the phone number or email you already have on file. If you need password login, we’ll add it, but the database will store only a hash, not the password itself

  5. Everyone sees only their own

Permissions are checked on the server with every request, not just hidden in the interface. Within a company, access is split by role and every action is logged. That’s how the sales team portal for a real estate developer in our case studies works

  6. Sometimes, and we’ll tell you so

If the standard account area of your CMS or CRM is enough, we’ll recommend it. A custom portal makes sense when data lives in several systems, you need your own roles, payments and documents, and you don’t want to pay a per-user subscription

  7. The code is yours; hosting is your choice

We hand over the source code and credentials to you. We host the portal with a provider in the region your data must stay in, or on your own server, in line with personal data protection laws
